Senior Executive Secretary - Marketing & Community Outreach, Health Alliance Plan
- Perform secretarial or administrative functions such as; calendar and administrative meeting management, word processing, Powerpoint presentations, manage invoices, prepare check requisitions for subscriptions and other vendor purchases, manage department documentation, filing and correspondence.
- Review, prioritize, and route incoming/outgoing correspondence. Screen incoming calls, take messages, provide telephone coverage and respond to requests for information and make appropriate referrals.
- Event Management: ability to coordinate mailing lists, telephonic or on-line RSVPs event planning details and management of support staff and logistics.
- Maintain appointment schedules and assist with managing projects, meeting deadlines for reports, assignments and meetings materials. Arrange for meeting rooms and ensure proper material(s) preparation for the agenda of staff meetings.
- Provide support for special projects and teams including minutes, update/maintaining project/team documentation and assist in writing and editing memos and other correspondence.
- Coordinate travel arrangements including transportation, hotel, and meeting rooms for divisional personnel.
- Prepare and distribute meeting agendas for divisional leadership meetings and project meetings.
- Prepare attendance, expense, and other routine personnel related reports and files. Requisition and maintain office supplies.
- Update, revise, and maintain files, books, and corporate policy and procedure manuals. Maintain confidentiality of all documents, materials, and other information.
- Support special projects as assigned.
- Perform other related duties as assigned.
- High School Diploma or GED required
- Four (4) years of recent secretarial/office experience.
- Proficient in using MS Office Suite, including: Power Point, Excel, Access, Outlook and Visio
- Type 65 wpm
- Excellent oral and written communication skills
- Ability to work well under pressure and meet deadlines
- Ability to be discreet with confidential material
- Pleasant telephone skills and confident attitude in dealing with management, support staff and outside contacts
- Ability to organize and prioritize to ensure maximum efficiency
